Trustee Policy Pack

For DDDT Charity CIO

(Adopted by the Board of Trustees)

1. Trustee Code of Conduct

  • Trustees must act in the best interests of the Charity, never for personal gain.
  • Trustees must comply with their legal duties under the Charities Act 2011.
  • Trustees must declare and record any conflict of interest.
  • Trustees must maintain confidentiality of sensitive information.
  • Trustees will promote equality, diversity, and inclusion in all activities.

2. Conflict of Interest Policy

  • Trustees must declare any actual or potential conflicts at the start of meetings.
  • A register of interests will be maintained and reviewed annually.
  • Where a conflict arises, the affected trustee will withdraw from discussion and decision-making.
  • The Charity will comply with Charity Commission guidance on conflicts.

3. Financial Management Policy

  • All funds must be applied solely for the Charity’s objects.
  • At least two trustees must approve significant financial transactions.
  • Bank accounts will be in the name of DDDT Charity CIO and never in the name of an individual.
  • Cash handling will be minimised, with digital/traceable payments preferred.
  • Annual accounts will be prepared in line with Charity SORP (Statement of Recommended Practice).

4. Safeguarding Policy

(Essential if working with children or vulnerable adults)
  • The Charity is committed to protecting all beneficiaries, volunteers, and staff.
  • Trustees will appoint a Designated Safeguarding Lead (DSL).
  • All staff/volunteers working with vulnerable groups will undergo DBS checks.
  • Concerns or disclosures must be reported immediately to the DSL.
  • Safeguarding policies will be reviewed annually.

5. Fundraising and Donations Policy

  • Fundraising will always be legal, open, honest, and respectful (per the Fundraising Regulator’s Code).
  • Donations will be used only for the purposes for which they were given.
  • Donor data will be kept safe and never sold to third parties.
  • Trustees will ensure fundraising activities protect the reputation of the Charity.

6. Data Protection and Privacy Policy

  • The Charity will comply with UK GDPR and Data Protection Act 2018.
  • Personal data will be collected only for legitimate purposes, stored securely, and kept only as long as necessary.
  • Beneficiaries, donors, and staff have the right to access their data.
  • A Data Protection Officer (DPO) will be appointed if required.

7. Equality, Diversity, and Inclusion Policy

  • The Charity is committed to promoting equal opportunity.
  • We will not tolerate discrimination based on age, gender, disability, race, religion, or sexual orientation.
  • Trustees will encourage diverse representation at all levels of the Charity.
  • All activities will aim to promote dignity, respect, and fairness.

8. Volunteer Policy

  • Volunteers are essential to the Charity’s mission and will be treated with respect.
  • Volunteers will receive role descriptions, induction, and training.
  • Reasonable expenses will be reimbursed (where agreed).
  • Volunteers are expected to follow safeguarding and confidentiality rules.

9. Risk Management Policy

  • Trustees will identify, assess, and manage risks annually (financial, reputational, legal, operational).
  • A risk register will be maintained and updated at least once a year.
  • Insurance cover (public liability, trustee indemnity, etc.) will be reviewed regularly.

10. Whistleblowing Policy

  • Trustees, staff, and volunteers may raise concerns about wrongdoing without fear of reprisal.
  • Concerns will be investigated promptly and fairly.
  • Whistleblowers will be protected in line with the Public Interest Disclosure Act 1998.
This Trustee Policy Pack was adopted by the Trustees of DDDT Charity CIO on 05/10/2025.
It will be reviewed annually, with updates recorded in the minutes of trustee meetings.
